Medical Office Administrator

The Medical Office Administrator (MOA) is an integral part of the operation of HeLa Beauty and Medical clinic. The Medical Administrator is responsible for the efficient and effective support of our plastic surgery department, reprocessing. The MOA position works closely with an interdisciplinary team including Nurse Practitioners, Registered Nurses, Traditional Healing Coordinator, Therapists, Health Promoters and many other roles. The role provides opportunities for interacting with providers, clients, and communities.

Full Job Description:

Pay:

$18-$24 per hour

Job Type:

Temporary Part Time, Possibility of Permanent Full Time.

Shift and Schedule:

Monday to Friday; Day shift with some evenings (1-2 per week)

In person; This position has two locations:

  • 10 Unit 2 Canadian Forces Drive, Petawawa, ON

  • 147 Pembroke St W, Pembroke, ON


Location:

Job Duties:

  • Acts as receptionist to greet and help patients in a professional, friendly, kind, helpful manner.

  • Performs scheduling duties.

  • Completes WSIB and MVA claims

  • Initiates prior authorizations as required by payers and obtains pre-certifications for services as needed.

  • Verifies insurance on all new and existing patients.

  • Maintains patient records and other department documentation, including, but not limited to, alphabetical filing, copying & mailing physician correspondence, processing & assembly of therapist charts.

  • Maintains clinic organization and cleanliness including, vacuuming, stocking bedside supplies, laundry and general clinic cleaning duties.


Administrative Duties:

  • Scheduling patient appointments, labs, referrals and follow ups

  • Creating quotes and follow up for Cosmetic Surgery Patients

  • Completing daily opening/closing procedures

  • Answering and routing phone calls

  • Greeting visitors and clients 

  • Conducting sales and cross promoting services in the Cosmetic industry


Financial Duties:

  • Processing payments

  • Billing

  • Invoicing and Paying physicians/surgeons

Qualifications:

  • Office Administration diploma or Medical Administration diploma or equivalent  

  • WSIB: 1 year (required)

  • Experience preferred but not required, willing to train the right applicant                        

  • Exemplary phone etiquette, with ability to handle multiple calls and tasks                       

  • Working knowledge of Microsoft Word, Excel, and similar computer programs             

  • Experience with Jane scheduling system, an asset but not a requirement

  • French not required but is considered an asset
